Featured sub-category: Calculations and Rollups Interface Inconsistency and Resource Hiding The experience revealed a serious lack of predictability on the display. Basic functionalities (such as the “Calculate” button, “Rollup” menus, and column settings) do not have a fixed or intuitive visual state. They emerge or disappear based on hidden triggers or field type, creating a learning curve based on “trial and error” rather than a deterministic interface. The absence of standard visual elements (such as configuration icons in headers) prevents the user from performing simple tasks in a fluid manner. Monetization Barriers and Lack of Transparency A late monetization policy was identified. The platform allows the user to start configuring a data structure (such as financial tables with currency columns) and only at the moment of extracting the result (the sum) the limitations of the free plan are manifested - often silently, simply omitting the calculation tools. If the charge for rudimentary functions such as “column sum” were reported at the beginning of the field creation journey, the user would at least have the opportunity to allocate their time more efficiently. Architecture Conflicts (Docs vs. Tables) The platform has a functional ambiguity. There is a deep but visually subtle technical distinction between “text tables” (in Docs) and “database tables” (Views). By offering an aesthetic tool (Doc table) that simulates a spreadsheet but lacks any logical capacity, ClickUp misleads the user. This seems to indicate that ClickUp is happy to assume that, in the practice of interacting with the platform, the user will possibly reconstruct the work in different visualizations to, at best, only identify clear limitations after interacting with an unnecessarily frustrating process. ClickUp flirting with a practical “Inefficient Broker” profile The final analysis reveals that, for calculation and numerical structuring tasks at the most fundamental level of complexity that exist, the way in which resources are offered to the user indicates, from a very practical perspective, a position of ClickUp that is questionable to say the least. The user is presented (as a feature) with the import or “Embed” of external tools (such as Google Sheets) apparently with a secure or automated validation and pairing character, but in practice there are overlaps of functionality that end up explicitly revealing their own calculation deficiencies or basic limitations imposed by an adherence plan. Complex reasoning is not necessary to conclude with the absence of technical or economic justification to centralize a demand on ClickUp, since the “solution validated” by the platform itself is the use of an external domain (Google) where, at least for the case described, the same functionality is offered free, natively and more efficiently. Intermediation, in this case, only adds layers of confusion and unjustified costs to the complexity of the demand, not only demonstrating inherent technical limitations but also bringing important emphasis to the institution's monetization policy and consequent implications for its identity and how it is viewed by the user.

Related to the list is a very good feature, but it could be connected only on a level of specific list and not globally or in a folder, which limits its usage. I suppose there is a good technical reason for that; it's a reason why I suggest the third option: make the relationship relatable to the task type. For example, tell that the relation must be just with a task type "Milestone" (or Contact, Idea, whatever...). For me, it would be a huge improvement, because searching for milestones in the structure or all tasks by their names is very ineffective.

I keep dated progress logs in my custom long text box fields, but when I click into the field, I cannot click into the middle of currently existing text to correct or add anything without it immediately closing the whole card. The only thing I can do is arrow around, which takes forever if I have a particularly long log. It would be great if it just let me click wherever and type. Also, when I want to change the color of text, the editor that pops up ends up underneath what I'm changing so I can't see it or access it. A movable text editor that I can slide around the screen would be great, too!

I’d like to report a usability issue with the custom fields management panel. When I click the three dots (•••) and select “Custom Fields” in a list, the panel that opens is so large that it covers all of the underlying information and tasks in my workspace. This makes it very difficult to reference my tasks or follow along with information from ClickUp Brain or other sources while managing custom fields. This design makes it challenging to efficiently review, edit, or remove custom fields, especially when I need to cross-reference task details or recommendations. Could you please consider making the custom fields panel resizable, movable, or less intrusive

I send emails to nonmembers and guest all of the time to track conversations with potential and current clients. It would be awesome to separate multiple emails by a comma or semicolon. I often have a team client as a task and there are multiple parties on each communication or a communications email and a billing email. Additional emails currently have to be stored in other fields or multiple unnecessary email fields take up space in other tasks that don't need them.

None of the folder views provide us with a satisfactory overview of all our lists. We can't add custom fields (only at task level) and we can't filter or sort the lists easily in the overview, gantt view, list view or board view. It means we don't have an at-a-glance view of all the projects currently in play (at least not in any logical order or with the basic details we require). I would have thought would be a fundamental element of a project management tool.

Just like there is a "Lists" custom field, there should be a "Spaces" custom field. We have a separate space for each client. All folders and lists under this space are named the same. So having the "List" custom field doesn't help for a task in multiple lists, because it just shows "Maintenance, Maintenance, Maintenance" as the different lists where that task exists. Having a "Spaces" custom field would enable us to see the project task and the "client" (via a "Space" custom field) that it relates to.

We have a dropdown custom field that we use to assign our partners to the task and to show who owns it. Every so often, these partners leave their company, so we need to remove their names from the dropdown. I want to hide their names instead, rather than delete or rename the option, so it doesn't alter old tasks.

Forcing colors on drop-down choices is too much. It creates an eye sore if you're using a lot of choices and can create visual chaos. We have been using icons with our text to make it a visually appealing, quick read view. I don't know when this change went into effect to where it forces colors, but it's horrible. It's preventing me from wanting to create any new custom drop-downs, and our users use dark or light dependent on their personal preference, so I really prefer to have the option for no color. Also, how do all these colors impact individuals with color blindness? I just think this is such a bad design to not offer no color as an option. 😕

Solution and problem We are requesting both preventative features and corrective features: Warning prompt for when a Custom Field is being added to the Everything level Activity Logs to view how and when a Custom Field got added to the Everything level Remove the paywall for the ability to move Custom Fields down the hierarchy to Spaces, Folders, or Lists. At the very least, up until #1 is met! Without these systems in place, you are punishing your inexperienced users for mistakes which cannot be avoided in the current state of ClickUp. You are losing trust [and business!] among users who don't bother speaking up on this matter — as well as those who do! For users who can’t opt out of using ClickUp, you’re causing us to lose time out of our day-to-day routines. Context and elaboration Currently, Custom Fields are inadvertently being added at the Everything level without knowledge of the user, and it is irreversible on the Business plan or below. Upgrading to the Business Plus Plan lets us use a feature to help reverse the mistake. In other words, as it is right now: we need to pay for our mistakes. To be honest, it feels like a set up. For small businesses like mine, these mistakes can be costly, yet they happen without us even being aware. Many of us ClickUp users truly believe that the reversible feature should be available for all users on all plans , especially considering how easy it can be to make the mistake initially. Warning prompts are preventative, they build trust with the user, and they omit the need for unexpecting charges to user accounts. Activity Logs allow us to learn from our mistakes and reflect after the damage has been done. Removing the paywall on the 1 feature that reverses these mistakes altogether saves us time and frustration.
