There are a few feature requests floating around that express some of these concerns but figured I would do a big picture post on what we are looking for. Maybe we are missing something? Right now ClickUp is putting large chucks of automation gaps into our workflow: client flow, and team flow.
--Built-in Scheduler instead of Calendly, would address and fix most workflow and automation issues.
---Zapier brings in data from Calendly, that data can go into a custom field so IT CAN BE USED IN AUTOMATIONS. I see that this is a work in progress.
---Also, having an issue with ClickUp Zapier not bringing in List Info when you use a List Template. Support is currently digging into this issue. If I don't use a List Template then the data does comes into the List Info.
---Forms can be automatically sent/ referenced in an email template. Why do we have to go into the form, copy and paste it into the email? We are using forms to gather information from our client and use that information as reference or for custom fields data. Support Topic: Sort of relates to what I am saying, just want a better Forms system:
---The big issue: Form data can only be populated on One task. Example on why this is an issue. We send a form to a client to fill out that includes form inputs: client name, email, and phone. This data is only used in that particular task. We want the data throughout the clickup folder/ client folder so it can be used in automations such as Emails to client.
---Emails/ Automations can be laggy and not go through right away or anytime soon. E.g. mark a status as “Completed” sends an email to the client or our team. This can take up to hours. It’s not an email issue, we have tested this. It’s a ClickUp Issue.
---Almost forgot about this little gem, is commenting doesn't seem very auto-refresh / instant messaging like and in-line replies seem to get lost... Maybe there is a way to always display in-line replies?
---Team chat/ instant messaging between members? Maybe... It does make sense to keep this in particular tasks and allows people to focus on their workflow.. I guess we could just use Discord.
Workaround: Putting all client correspondence in the One Task thats created by the Form Submission. This would solve most of our problems if Zapier talked with custom fields and we could automate/ reference forms in emails to clients.
Closing:
Again, maybe we are thinking about this flow wrong and maybe their is a better or a “ClickUp Workaround” and maybe we are just frustrated but the only reason we are using ClickUp is to automate our workflow, and anytime you have manual steps - it really throws a wrench in the process, and you can’t expect a large team to all remember and play by these workarounds.

Update here for other ClickUp users:

Our workaround illustrated above actually turned out to work better/cleaner -- as email correspondence is all in one place, rather than scattered throughout the Project Folder. This simple solution has allowed us to fully automate our Project Folder! Although, we still think ClickUp should be able to have the option to apply the Form Submission content throughout the entire Folder, rather specific to a Task.
Some key points:
- Inline replies to comments get lost easily, i've started to lean away from inline replies. Discord/Slack just clutters the development process as too many mediums of communications tend to hide important information. We have developed a kick ass process to use ClickUp entirely for development, I wouldn't imagine going back to Discord/Slack.
Which is why auto refreshing of messages is critical for us, we use the commenting section to workout bugs/suggestions on a per task basis -- I find my self constantly refreshing to make sure we're current with communications. Yes it does auto load, and has the "typing now/viewing now icon" but does messages do not load as fast as I would expect from instant messaging services like Discord/Slack. My fix: use the notifications section, works like a charm -- it's the main hub that I live/work in.
- ClickUp should have its own scheduling client scheduling feature. Of course we can use Calendly with Zappier -- but it seems this is a key area that ClickUp can strategically dominate in. Maybe acquire Calendly and integrate it instead of developing form scratch?
- Automations can be extended in various ways, i'm sure you all are well aware of that. Current automation features have already saved us hours of work.
Bottom Line:
ClickUp has saved us an immeasurable amount of work by automating our process, and the alternatives for ClickUp are outdated and look/function like complete garbage.
ClickUp is AMAZING and VERSATILE at the current stage -- just need a little more power. Keep up the great work!
