I currently use Pleexy to sync Clickup tasks assigned to me to Todoist. Clickup is much too complex to use as your individual task manager. I want my work and private tasks in one app, which I can share with people at home. With Clickup that is not possible. As your personal task manager you need a clean simple app. Clickup wants to be the single app people use. Others have tried that in the past, but no app ever succeeded. Think about that.

I’m curious if you use both ClickUp and Todoist—and if so, what keeps you using Todoist alongside or instead of ClickUp?
- Which ClickUp feature do you wish felt as intuitive or fast as Todoist?

Tadej Jevševar I used it before to quickly add tasks with Alexa. ClickUp needs a faster way to add tasks—like letting you set a default list—because it’s annoying to always have to pick the right list and sometimes they accidentally end up in the Personal list graveyard. Ideally, there’d be a solution to add task via assistants like Alexa/Google (Clickup Alexa Skill not available for Germany).

Tadej Jevševar For me, I want all my To Do's in a tool purpose-built for To Do management. I don't like it when one tool tries to do too many things. We use ClickUp to manage team and collaborative tasks, but my individual To Do's I keep in Todoist.

Mark Finzel thanks. Are your individual to dos (task) about your work? If yes, how come you don't have those as ClickUp tasks?
Would you like to have an automation in ClickUp that every time you create a to do it would create a ClickUp task?

Tadej Jevševar It is tasks about my work. I might be more of a personal preference but I always have put my tasks in a task manager, not a PM tool. My area of responsibility is broader than what we put in a PM tool, I have lots of random work tasks that aren't manage in a PM tool. I wouldn't want to try and replace Todoist with Clickup, but I would like to sync those tasks that are relevant between both.

Mark Finzel: Thanks. Did you try any of automations tools like Zapier to create ClickUp tasks out of your personal work to dos?

Tadej Jevševar I have done the automation the other way (ClickUp > Todoist). I don't have an interest in creating ClickUp tasks out of Todoist tasks. But I DO want to sync them, so that if a task exists in both, completing them in one system will complete them in the other.

Got it, Mark Finzel . Sounds like you’re trying to keep work and personal tasks separate, but still want shared ones to stay in sync.
Quick follow-up:
- Would it help if you could choose which ClickUp tasks get synced to Todoist (and vice versa)?
- Or do you imagine a setup of automation where tasks with a certain tag, label, or list (like “Work”) are synced between both apps?

Tadej Jevševar They're all work tasks. But different kinds of work tasks. The entire scope of my To Do's live in Todoist. There is a smaller subset that is relevant to ClickUp.
I like the way you described it, that a certain tag, label or list would be 2-way synced.

Tadej Jevševar ClickUp is a great tool if I'm at my desk, but I use it as an individual to manage my work, freelance, personal, and family life.
Things that ClickUp cannot do or does so poorly that using ToDoist is far more sustainable for more simple tasks that need to be included for time management and reminder purposes:
- Quickly add a new simple todo item on the fly from mobile or google home
- Quickly/easily postpone or snooze a task or reminder (this goes double if the task or reminder is repeating)
- Setting due dates with a time in ClickUp is obnoxious - If I select a start date and end date that are the same days and then I want to add a time to start, not only do I have to scroll or fight it to let me enter a time by typing but when I select that time/date it clears out the due date - then I go to the due date and select the same date again and it does not automatically hide the times that would fall before the start time so I have to repeat that fight to type or scroll through every 15 min interval time to find the one I want. For larger task management and planning there are other ClickUp Functions & Features that make it worth dealing with this, but for more basic and quick items it is not worth it.
If ClickUp really wants to be able to be the "One Tool to Rule Them All" then it needs to be able to handle tasks/reminders in a useful way and not just complex multi-step projects.
Reminders seems like it may have been intended to fill this gap, but as they currently exist they are honestly fairly useless. You can create a reminder quickly, but they are only visible in the home page and not visible within a list or calendar view. They are actually quite cumbersome to use for very simple/basic tasks that might need some flexibility with timing.
(Note: I cannot use the home view since I could not adjust notifications on a per space basis so I had to get creative so that my phone would only get notifications for personal tasks - my work tasks are assigned to a "guest" user under my work email so I didn't have to pay for 2 users but that means that my "home" view is not functional for all of "my" tasks on a daily basis as it will only include ones I want reminders/notifications for. )

Tadej Jevševar Hi. This is one of my biggest frustrations preventing me to "go all in" with clickup -> The clickup app is just not up to par in quick input and managing a todo list on the go.
I travel quite a bit and go from client to client. I need something speedy, powerful and integrated when I am away from my computer. Todoist nails this, and Clickup seems not to consider that work happens away from a monitor layout and keyboard input

I use Todoist for personal tasks and ClickUp for work. I don't use ClickUp for personal tasks because it does not have the same laser focus that Todoist has on making it as easy as possible to capture tasks from anywhere and everywhere. ClickUp is also far more complex than I need to manage my personal life. For me to use ClickUp for everything it would have to be extremely easy for me to quickly add new tasks from all my devices in multiple different ways AND it would have to be performant (not laggy and slow where I have to wait a half second for every other thing to load). Until that happens I would be happier if I could just see my work tasks in Todoist, and have my co-workers who don't use Todoist see those tasks in ClickUp.
