Show Google Calendar events in Workload view
Megan Ellman
[from ticket] I want to include my events from my calendar/Google calendar on my workload?
It looks like I have availability/capacity for more tasks but then I realise I have 3 meetings for 3hrs

It would be best to see everyone's events in the workload view.

Calendar and workloads

We want to use workloads to manage the workload of our team members. Having the tasks taking up time of the day is perfect for planning, but unfortunately right now I have to add all my meetings as a task with estimations, to have them subtracted from my work pensum.
It would be awesome to just have my calendar (in my case google calendar) sync my events with that, because in the calendar both date and estimated time in the meetings is given.
This would make the tool so much more useful!

Gmail Calendar Integration - Option to Add Meetings to Workload

Hiya!
Our team is using Workload to assess capacity. However, we are hitting a snag when it comes to meetings.
We would love a (preferably synced) way to include meetings (which we create in Google Suite) when viewing Workload>Hours. (Ideally, this would be a toggle on/off, with the option to exclude individual calendar blocks from capacity assessment.)
Thanks!

I have a question about the calendar events in the workload from 2026. Do you see this as displaying only your own Google calendar events or everyone’s?
Khalil Abdullah
Vasil Enchev should have the option for both especially for managers who are managing team workload

Vasil Enchev the feature is most useful if it's accurately estimating our available time in the workload, so the most useful display would be any Google calendar events we're invited to. Some custom filtering might be nice if people use their Google Cal to time block, maybe filtering by if there's a meeting with a virtual video conference link or an address added, or filtering by Google calendars (your own vs shared), or even the option to manually "x" out a Google Cal event on your workload manually.

Vasil Enchev As a project manager constantly looking at workload views to guage time management I am manually adding meetings as a subtask to account for time. Would LOVE to have a real-time view of everyone's scheduled tasks as well as their Google Calendar integrated. However, it is true that sometimes working time is booked on a google calendar that would not need to be accounted for in the workload view, so an option to remove a specific Google Calendar event from the workload view would be needed.

Vasil Enchev Yes, this is it exactly - Scoro has solved this problem already. It would also make time tracking easier. Currently, I use a Zapier automation to send all new google calendar events, IF i've rsvp'd yes to them, to ClickUp to a specific landing list. Then, a SuperAgent could take over and reroute the task to the right list. However, it currently has an issue with timezone distinctions, so I have to remove the timestamp from the due date post facto.
Vasil Enchev
Khalil Abdullah Thanks, this makes sense to me too.
Vasil Enchev
Stephen Cook the problem is how do we choose which calendars to display for each user, I guess we can start by showing their primary calendar which is usually the one that's the same as their email.
Vasil Enchev
Theresa Rodriguez Thanks! that's good feedback "Option to hide specific events" however it does sound like it complicates this a bit - so can you say if you rate this as a stopper or a nice-to-have?
Vasil Enchev
Hannah Zachry Thanks! I'll check their solution. Excellent point about tracking RSVP before affecting your capacity for the day. Perhaps this is also a natural way to remove calendar events from the workload (assuming they will ever show - could be just a calculation thing at the beginning)
Theresa Rodriguez
Vasil Enchev Overall, the most important thing is the be able to see real capacity and the addition of the google calendar events to the workload view would do that. So, option to hide specific evnets is a nice to have.
Hannah Zachry
Vasil Enchev that would be pretty clean! And would allow people to continue tracking / syncing the way they do.
Though, having used Scoro... it's so nice. All time is auto-logged for meetings too. So capacity is much more accurate, and no one forgets to log a meeting.
Vasil Enchev
Hannah Zachry Yeah, that sounds really cool. There are already requests like that. https://feedback.clickup.com/feature-requests/p/automatic-meeting-time-tracking

I think that more than "show", it should take meeting durations as non workable. If i work 40 hrs a week, but everyday i have one 1hr meeting, my availability should decrease in 5 hrs
OR
Considering this 5 hrs as part of my load

Let's go ClickUp team! +1000 for this feature!
it would make my planning a lot easier as I wouldn't have to go out of ClickUp to check someone's calendar to see they're out of office or Slack if they messaged that info.
Should be visible in Workload, and maybe even as 'red dates' in the ticket start/due date calendar picker when assigned to someone who cannot work on those dates based on their Google Calendar.

Add time estimate and tracked time to synced calendar events
Summer Olenick
In order for proper capacity planning, please add the ability to apply a time estimate and time tracking to calendars that are synced (Google calendar, etc). It’s great that the events appear already (though I am desperate for a two way sync with Outlook!), but it isn’t very helpful if I’m unable to capture that time for my day. Right now I’m having to manually create a task for any calendar event (aka meeting) I plan to attend that day. I think this could be a game changer and would allow us to capture some amazing metrics on how much meeting time is zapping our daily productivity. Thank you in advance!! 📆⏳▶️🙏🏻

This is really disappointing that this is not available! Doesn't make sense, as my google calendar is integrated with Planner, but then not linked with the workload view. Should be quite easy to integrate. Please fix.
