Today, when ClickUp AI is enabled at the workspace level, Brain Max and AI Interface becomes immediately available and visible to all members of the workspace, without any role-based restriction.
This behavior creates several limitations for organizations that need a controlled and progressive rollout of AI features.
It would be extremely valuable to add the ability to restrict the visibility and usage of ClickUp AI features based on user roles.
The goal is to allow a sandboxed environment where AI features can be tested safely by a limited group, configured and standardized (prompts, governance, usage guidelines) and validated from a security, compliance, and cost perspective.
…before being exposed to the broader user base.
At the moment, enabling AI is an “all-or-nothing” decision at the workspace level, which makes it difficult to run controlled pilots, prevent unready or untrained users from accessing AI features and align AI adoption with internal governance policies.
Introducing role-based AI availability would significantly improve enterprise readiness, adoption quality, and change management, especially for larger or regulated organizations.
This type of control aligns with existing permission models already present in ClickUp and would be a logical extension of workspace governance.
