Make Tag Grouping Work for Everyone: Add an AND/OR Switch!

Have you ever grouped tasks by tags in ClickUp, only to wonder why certain tasks are missing? You’re not alone. This happens because the current tag grouping logic uses AND filtering, which restricts tasks to groups where all their tags match.
The Problem
If you’re like me, you use tags to organize tasks across categories—like meeting type, location, people, or topics. But when grouping by tags:
- A task tagged with multiple categories often disappears from relevant groups.
- The more tags you use, the harder it becomes to find tasks because they’re buried in overly specific combinations.
- Instead of showing tasks under each relevant tag, ClickUp hides them unless every tag matches the group.
The Solution: An AND/OR Switch for Tag Grouping
Let’s give users the flexibility to choose! Adding a simple toggle to switch between AND and OR logic for tag grouping would:
1) Boost Visibility: See every task associated with a tag, even if it has additional tags.
2) Enhance Usability: Keep tasks where they belong—in multiple relevant groups.
3) Support Diverse Workflows: Whether you’re managing projects, meetings, or topics, tags will finally work the way you expect.
Here’s How It Could Work:
In the grouping settings, let users pick:
- AND logic (current behavior): Groups tasks only when all tags match.
- OR logic (new option): Groups tasks in all relevant tag groups based on individual tags.
Why This Matters
This isn’t just a small tweak—it’s a game-changer for task management. Most users don’t expect tag grouping to exclude tasks with additional tags. Adding an AND/OR switch would make tagging much more powerful and intuitive for everyone.

I wanted to add a concrete example that clearly shows the difference between ClickUp’s current AND-based tag grouping and how many users expect tags to work.
Capacities recently updated their tag/query system, and it demonstrates this perfectly.
Example Task
-Task: “Select blinds for installation”
-Tags:
--301-618 Abbott St (address)
--home
Capacities Behavior (OR logic)
When tasks are grouped by tag (OR):
-The task appears under “301-618 Abbott St”
-The same task also appears under “home”
-The task is shown once per relevant tag group
-No combined or nested tag groups are created
This makes it easy to:
-Browse by location or
-Browse by context
…and still see everything that applies.
ClickUp’s Current Behavior (AND logic)
When grouping by tags in ClickUp:
-The task does not appear under 301-618 Abbott St
-It does not appear under home
-Instead, it appears only under a combined group like
301-618 Abbott St / home (or even worse the more tags added to a task)
As a result:
-Tasks feel “missing” from expected groups
-Users must know to look for combined tag groupings
-The problem gets worse as more tags are added
Why OR Grouping Matters
-Tags are often used to represent multiple independent dimensions (location, context, topic), not strict combinations. OR-based grouping matches how users mentally model tags and how they expect grouped views to behave.

Adding an AND / OR toggle for tag grouping would:
-Preserve ClickUp’s current behavior for those who want it
-Enable intuitive, OR-based grouping for users who rely on tags for navigation
-Prevent tasks from disappearing from relevant views
Capacities’ implementation shows that this model works well in practice and dramatically improves tag usability.
