Lock time entry on completed tasks and remove them from the time entry task list
Tara Dowling
The problem:
Timesheet approvals stop people from changing time after it's submitted, but nothing stops them from logging new time on a task that's already marked complete. Completed tasks also keep showing up in the task list when people add time, so consultants have to scroll through a long list of finished work to find what's actually open. That's slow, and it makes it easy to pick the wrong task. In a services org, a completed task means the work is done and its hours are final. New entries on closed work throw off project totals, budgets, and invoicing.
Current workaround:
We check for time logged on completed tasks during timesheet approvals and reject or fix it by hand. Consultants dig through the full task list every time they enter time. Nothing stops the bad entry from being made in the first place.
Requested solution:
Let admins lock time entry on tasks based on status:
Choose which statuses lock time entry (e.g. Complete, Closed, or any custom Done status)
Set it at the Workspace, Space, Folder, or List level, with inheritance
Remove locked tasks from the task list when adding time in Timesheets, the timer, and manual entry
Block new time entries on locked tasks
Let admins (or chosen teams) override the lock when a correction is needed
Unlock automatically if the task is reopened to an active status
Who benefits:
Consultants entering time every day, plus PMs, finance, and ops leads who own timesheet approvals, hours reporting, and invoicing.
Impact:
A shorter task list with only open work, so time entry is faster and more accurate. Time only lands on work that's still active, approvers spend less time cleaning up, and project actuals are easier to trust.
