Justin Hunter I'm also appreciating the updates! I want to second the motion for gallery view - very important for those of us who are visually oriented. Also, can we have the option to color code the folders? Visually, it takes a long time for my eyes to sort through the folder titles, and color codes would help tremendously.
I think the "Recent, Favorites, Created by Me" section takes up too much real estate. Perhaps if that section is collapsable, that would help. If we can have the option to pin that section (or save that view of the collapsable menu), that could work.
Thank you!
Chris Ball
Docs area is potential power but the inability to filter this information appropriate is a major issue. I've been using Clickup for consulting for ages but want to use it for my doc notes as well.
Biggest challenge is the organising of these on the folder and list tree area in a space as well as the main doc area.
Suggestion - Docs Screen Management of Docs:
Doc area should allow Docs to be allocated to Folders. Docs to be able to be assigned to more than Folder and more than location, to allow for the a Doc to become a knowledge base item. This will help with organisation strategies like Second Brain
Then be able to filter the Doc Screen by Folder folders.
Doc screen should be able to filter docs by Space. Again to see all the docs that have been created in a space.
Likewise to filter by tags.
Also to be able to search the docs by keywords and to bring up any document containing that keyword.
Spaces management of Docs
Instead of adding a Doc each time to the space have a link on each spaces tree which is to a view/page for docs. If there are none in their it just shows as empty else. It offers a similar view as the Doc Screen with various filters. Except its now filter by default down by location. If it has multiple locations it would show

- Love the "expanding" feature ! It's just like on Mac, which is missing Windows so much, the column vue, which allow to understand exactly where we are without thinking about it. Awesome.
>> By the way, let's address here once again the big missing feature. ??? Why, damned, is this expanding system still not in place in the sidebar for folders + multi-level sub-folders ??? A Doc Hub is certainly nice to have, but far less than this missing point. (!GIF!)
- I would be surprised to see the filtering in action - not only in the Docs Hub, but certainly too in the desired sidebar folders + sub-folders structure.

Justin Hunter
Thibault de Changy: This is great feedback!
For this question:
> Why, damned, is this expanding system still not in place in the sidebar for folders + multi-level sub-folders ???
Are you asking specifically about expanding folders AND including nested folders? Expanding folders on the sidebar works today, but there's no nesting folders yet. It's on the roadmap for our hierarchy team, though!
Ben Porter
Justin Hunter: Don't know if this is what Thibault means, but it would be nice to be able to expand Docs in the sidebar (as if it was a space) and see the top-level folders of docs right there.
Thibault de Changy
Justin Hunter: Yes I know that it's planned, but why does it take so much time while its such a basic functionality ? If I'm right you also plan to ad only one level of nested folders, if so, it would still be limited.
NB : compared to the app Notion, this is an absolute mess, not mentioning the horrible scrolling experience on the tasks list view.
Ethan Whitted
Thibault de Changy: As a developer I can confirm that what may feel like "basic functionality" to users is often not so simple on the backend integration.
I understand the impatience with wanting the subfolders feature to come out already, but we have to trust that they
really are
working on it and that the process of developing that specific feature while still running the company and making everything else work! It's important to have humility and empathy in these types of situations!Monica Sepulveda
I absolutely love this! Organize the docs with folders is exactly what I needed. I am in Corporate Real Estate, and have various projects which have different documents that I had tagged and organized with a keycode on the title, but his helps a lot with my organization on the information. I do agree with Brendon in regards to adding doc folders to a specific space.
Justin Hunter
Monica Sepulveda: Thanks, Monica!

Brendon McCarthy
Justin Hunter: Folders need a permanent view. More than one click to select and apply the Folder filter isn't great. And, I suppose many will want to set the Folder view as the default. +1 for classic folder/file hierarchy.
Related, can a Folder be added to a Space? Currently, we create Space "Folders" and add the Docs to the Space Folder. Ultimately, our use case requires associating Docs (and now Folders) with a Space. For us, Spaces are clients/projects and/or departments.

Wahid T. Yahya
Justin Hunter: Cool 😎 I like this.
Justin Hunter
Brendon McCarthy: Great point about quickly accessing the folders view. Maybe that would be a tab across the top of the docs grid?
As for adding these folders to the sidebar, I'm honestly not sure yet. We've heard both that people want to have groups of just Docs live on the sidebar (as opposed to the current folders structure that allows Docs and Lists), and we've heard that people want a separate, global Docs organization location (i.e. Docs Hub).
Nicole Warner
Justin Hunter: Yay! Thanks for sharing these. Keeping what I now consider to be the "Docs Hub" would be great, as they are usually separate entities or are (frequently) linked to/from a task.
As for these:
Expanding Doc Folders
This is great! This would work really well for my VA and me, as we have a smaller # of documents and having expanding doc folders would keep things very organized for documents we use regularly AND for specific projects.
Creating a Doc Folder
Cool, this looks like a standard feature we should definitely have.
Filtering for Docs Folders Only
Sounds like something very good for people who have a lot of folders and a lot of documents.
TaeLynn Johnson
Justin Hunter: I'm happy about the expanding folders. Will we be able to rename docs, grab the doc link, share, etc. from within that view?
Justin Hunter
TaeLynn Johnson: Yes! The idea would be to keep any of the existing functionality that you can do on the Docs Hub today (which includes rename, doc link, etc) if we implemented this expanding hierarchy.
Nick Wilkinson
Justin Hunter: looks good. perhaps I would still find it too cluttered if the default view is to show every single document. i.e. instead of having to click several times to apply a folder filter, could we just have a folder view as the default? just realised others have commented the same as I'm typing so there you go!
Richer Morin
Justin Hunter: make sense
Guy Mannerings
Justin Hunter: This looks great!
It's a little blurry, but am I right in thinking that we could create Folders, drop Docs in, but they also show their physical location within ClickUp? (Looks like "Location" is the second column, but I can't quite see.) This would mean essentially a Doc could live in 2 places - the ClickUp view location, and the Doc folder. If so, this is awesome!!!!
The only comment I have is setting a filter to see your folders might get a bit annoying. I can also see why people might want a straight-up list of all their Docs instead of seeing them in folders (and some might not be in folders). So maybe a simple "sort by folder" would help, then Docs not in a folder will be at the top or bottom of the list. Or a button to see Docs by folder.
I also still like Docs home over sidebar-only. Right now, we have flexibility, and it allows Docs to be created outside of a main ClickUp location. It's also useful for focusing on and finding Docs. I think if it was sidebar/views only for Docs, I would lose them, not knowing where I created a Doc.
Justin Hunter
Guy Mannerings: Thanks for the response, Guy!
> am I right in thinking that we could create Folders, drop Docs in, but they also show their physical location within ClickUp? (Looks like "Location" is the second column, but I can't quite see.)
That would be the plan, yes!
> I also still like Docs home over sidebar-only. Right now, we have flexibility, and it allows Docs to be created outside of a main ClickUp location. Can you go a little deeper on this comment? Do you mean you like the current Doc Home vs. the new 3.0 Docs Hub?
Guy Mannerings
Justin Hunter: I just mean anywhere that is a Docs Hub/Home is useful over simply putting Docs in to the sidebar or Views.
I read the previous comments as possibly having no Docs Home/Hub at all. Maybe I misread.
So, yes, for clarity, I like where you are going with things!
Ethan Whitted
Justin Hunter: I can't quite tell from the GIFs, but will we be able to sort by each of those columns ascending/descending? E.g. for "Name", "Location", "Tags", etc.
Khalil Zumot
Justin Hunter: That is amazing having the folders and the hierarchy of the collection ✨✨ But I think the biggest question is when will these features be available
D
D King
Will we be able to save a filtered Docs view?
Francesco Guerrieri
I like this, but - and maybe I'm being daft here - I don't quite understand how Collections are different from tags (which I found very useful, until unfortunately they were taken off us by making them only available upon upgrading to Business Plus).
Justin Hunter
Francesco Guerrieri: Collections would initially be just as useful as tags but a visual upgrade. Filtering to find content by tags was often a challenging UX pattern for people.
However, Collections are extensible to any future definitions as well. You might have a collection of collections, a collection of Docs tagged "Design" and shared with "Fred". It's a pattern that we think will be very flexible.

Marieke Burghoorn
I like the prototype and it is definitely an improvement, however I wish the collections and its docs are displayed as a hierarchy/dropdown where you can collapse and expand collections (just like a standard folder structure), rather than the collections being displayed as buttons in a row or as tags in a column. I hope my suggestion makes sense :)
Justin Hunter
Marieke Burghoorn: Great feedback! Would you want to see the expansion of the collection directly beneath the collection button?
M
Marieke Burghoorn
Justin Hunter: Yes ideally! But instead of buttons, I would like to have a list of collections that then can be collapsed or expanded :)
Guy Mannerings
Marieke Burghoorn Justin Hunter: An option to see them as a list and/or buttons would indeed be cool.
D
D King
Marieke Burghoorn: Agreed - scrolled before adding this as a comment, but these are my thoughts also. +1.

I think that the proposed improvements to Docs organization are great. You are on the right track, in my opinion! Hopefully, having Collections doesn't require an upgrade like Doc Tags does. I started using the Tags feature and then it was not available in my subscription.
Justin Hunter
Hey all! We've been making some great progress on the future of organization for ClickUp Docs. I'd love to share with you some screenshots of the prototype we have to get a sense of how well it feels like it solves the organization problem.
I'm attaching four images: Collections, An open Collection, creating a Collection, adding Docs to a Collection. Please reply to this message with thoughts, questions, feedback, and emojis. Especially emojis! 😀
These images don't show adding a Doc to a Collection from the Doc itself, but that will definitely be possible too.

Khalil Zumot
Justin Hunter: Yes !! amazing news, thank you. I would say as well that having the share permission on the collection/folder would be great.
And improve the searchability for docs based on the content inside the doc similar to workspace search but in docs for better preview
For example when searching for the word sprint it only gives the document with the title not the docs that content of the doc

TaeLynn Johnson
Justin Hunter: Definitely a step in the right direction. The more data container options, the better.
Tori Ponce
Justin Hunter: Looks like a great big step in the right direction! Outside of Collections, have you guys worked on more extensive sorting or grouping options (example: sort or group by space/sidebar/folder/list/task)?
W
Wahid T. Yahya
Justin Hunter: looks super cool 😎 cant wait 🤩🥳
Nicole Warner
Justin Hunter: Great progress! Thanks for sharing these screenshots.
I'd like to be able to view collections and 'all' and that's actually all I'd need. The recents/favorites/made by me is superfluous for my small but vital ClickUp docs collection, so the siiiiiimpler the better!
Lisa
Justin Hunter: In the list of collections, how does it look with more? will it stack down, or will it awkwardly scroll to the right like the "LineUp" tasks do on the homepage? Will collection icons always be a stack like that and colors are editable, or will we be able to add icons to differentiate like we can with docs?
this is a great step in the right direction! I would also love to see (maybe in the future) dynamic collections, so like a filter being able to quickly add all "documents tagged 'design'", etc., so any documents created in the future with that tag (or another identifier mechanic - created by, created date/range, etc.) are automatically added without having to manually sort them (relying on users in the future to do the things always is the worst!)
Guy Mannerings
Justin Hunter: Looking good!
Suggestions:-
Can we get sub-collections (sub-folders, you know... 😜)?
I also really want to be able to organise by the location the Doc actually resides in ClickUp. I know there is a filter to filter by location, but I would like to see a simple structure by Space --> Folder --> List --> Task, with the Docs showing where they are in that structure.
🎉👏👍
Sandra Diaz
Justin Hunter: I like it!! These features would really help me organize my docs. Right now I use a doc as a sort of "collection" and then under that doc I add several pages. This would be better. Thanks for sharing! ⭐
Justin Hunter
Khalil Zumot: That's coming! It's actually possible now but we're working on exposing it in search. Plus we've got some fun new ways to interact with your Docs and other workspace content coming. Stay tuned!
Justin Hunter
Tori Ponce: Yes! There's going to be a few different ways you'll see that you can do this. We have something rolling out very soon called Location Overview. It'll group anything in an easy to digest format for quick access based on the location (space, folder, etc). But this collections idea, if it does solve the organization problem can be extended to other items besides Docs and combinations of items.
Justin Hunter
Lisa: Great questions! When you have more collections, the See All button can be clicked and it will expand down like in this screenshot. We're still thinking about how to order Collections (probably number of Docs in a Collection as the sorting mechanism initially).
The system we're experimenting with is designed to be exactly as flexible as you're talking about. A Collection initially will probably be something you don't have to think much about. But in the future, you can build almost any set of rules that make up a Collection.

Justin Hunter
Guy Mannerings: Sub-collections and sub-folders are top of mind. Probably won't launch (regardless of the end solution) with them. But it's literally the first thing we talk about in all of our conversation—how do we ensure the solution can scale up to sub-collections/folders.
And seeing your Docs grouped by their location is actually very close to rolling out. Stay tuned!
Richer Morin
Justin Hunter: pretty cool. is the new doc latency infrastructure up... ive got slow doc latency. maybe its just me. is there anyone here going through loading problem with docs
Siobhan Wheelan
Justin Hunter: please make sure we can show any views both as either a list or a gallery. In this screen shot it seems the collections are only presented in a gallery view. There are many people, myself included, that can not process information is the gallery format. I need one clean list for my eyes and brain to process.
Mia
Siobhan Wheelan: Agreed!
Sarah
Justin Hunter: Like others are saying, it's a step in the right direction! I would very much appreciate this addition to the docs hub. Also, I hope that we can still use a grid/gallery view for docs (and the collection cards would just be bigger? idk)
Will Helliwell
Justin Hunter: definitely on the right track! My only concern would be, what does this look like when there are 100 "collections"? Will they be easy to navigate?
Justin Hunter
Siobhan Wheelan: Great feedback! For the list view, you mean a list of collections rather than the cards? Where would you expect to see that list? Above the regular list of Docs like the collections are today? Or maybe a toggle to switch from your list of Docs to list of Collections?
Justin Hunter
Sarah: Great feedback! Thank you, Sarah!
Justin Hunter
Will Helliwell: That's a fair concern and I think the answer is yes, but maybe not right out of the gate. Here's an image with more collections (not 100 though). As you can see, the more you have, the more you'll end up scrolling. However, there are ways to improve the UX around this through both Search and possibly displaying collections optionally in a list view as others have suggested.

Ben Porter
Justin Hunter: The collections themselves look like they will work great, especially as you say with being able to add other items (I assume tasks or lists) to collections.
I'm not in love with the "Recent/Favorites/Made by me" interface, and the unsorted documents showing right below the collections. It means the same document could be seen 4 times on the same screen, which wastes screen space and attention. Creates some decision fatigue choosing which of the four identical buttons to click on to open the doc.
Might be good to have a screen somewhere that only shows the collections. Then the collection icons could be a bit larger and give some more context to what's inside (most active/recent document titles, primary contributors, some mini thumbnails, etc)
Justin Hunter
Ben Porter: Really great feedback! The recents, favorites, create by me sections will soon be customizable. So if you wanted to show three Collections at the top, you would be able to do that. I'm not sure the timeline on those customizations because we probably want to get a little more time with Docs Hub in the wild before making changes. But it definitely is planned!
Guy Mannerings
Justin Hunter: Awesome! Thanks Justin.
Nick Wilkinson
Justin Hunter: Looks good. For me I would say sub-collections following with your labelling, would be important the next level down. If wanting something different than subfolders/collections, then a secondary layer of collection types that you can customise and apply to collections. Mainly the point is being able to further classify these collections as some will end up with lots of docs. thanks.
Brendon McCarthy
Justin Hunter: I know this task is about Docs Home, but I am curious how this will integrate into Spaces as well. We have projects/products/clients organized into Spaces and I do not want to switch back and forth between Docs and Spaces. Instead, I want to keep Tasks and Docs and Whiteboards well-organized in a Space. Currently, we can add a Doc to a Folder within a Space, and this has been working well enough. Will we be able to add "Collections" of Docs to Spaces similarly?
Siobhan Wheelan
Justin Hunter: I would expect to see a collections tab next to the “all, shared, private,…”. One of those options would be collections with details about each collection. How many docs, etc. Additionally I would expect to have a toggle to expand each collection right there on the same page to show what’s in the collection.
