assign time for working on Tasks in calendar
closed

it would be helpful if when I assign a Task to the calendar, I could also assign the time I want to work on it.
A Task currently has a due-date (by when all work must be complete). It would also be helpful if I could schedule the date and time that I'll next work on that Task (before the due-date). It's like scheduling a meeting with myself to work on the Task.

Luci N.: Are you working on anything like this? There's a lot of "working session" type posts

Hey, Nick! Great question! This specific functionality isn't currently on our roadmap, but we will be sure to update any related feature requests if we have any new details to share!

Luci N.: Requesting you to update this feature in clickup, it would be a great help
Basically I idea is - option to make two or more then two "sessions" to complete a particular task/subtask. These sessions should be reflected in Calendar and time tracked.

PLEASE DO THIS! I used to use ClickUp for myself and I loved that I could just drag a task in the calendar and block off time to work on it (without worrying about the due dates changing because it was just me), but now ClickUp is used by my whole team and I don't want to keep altering the due date every time I allocate some time in the calendar to work on it. It would be awesome to create a "Working Session" (Like Nick describes below) where you can have a block of time in the calendar that you can schedule and track time against without affecting the ultimate due date (and without having to create endless subtasks to create instances for plugging into the calendar) It would also be great if when you schedule a 2 hour block in your calendar for a task, it automatically made the time estimate 2 hours.
Nick
I would really like to see this too. This feature is found in the "Plan" app - https://getplan.co/. You drag an item from the list to the calendar and it creates a "working session." You can easily create multiple working sessions and see the total time scheduled. This is completely independent from the due date.

Client Success Champion @Brandi-West suggested what may be the best way to implement a work-flow like this: Create a Task with the final Due-date, then create a Subtask to schedule a work-on date and time.
Crow
I just learned about List Milestones (Start and End dates for Lists), which might be something that I can use to get the workflow I'm looking for.
One idea I could try for showing a Work-on date on the calendar is:
· use the Due-date to tell me when to work on a task, and
· create a custom field to hold the final “real” date that the Task must be completed.
· If I need to set multiple Work-on dates, create duplicates of the Task.
I’m not sure how quickly I’d use up the 100 free “uses” of custom fields that come with the free plan, so I’ll hold off on trying this for now.

Here's a story illustrating what I'd like to do. On Monday morning a colleague asks me to do a 2-hour job that's due by the end of the week. I create Task X in ClickUp, set the Due-date to Friday, and save the Task. Now I need to find some time to work on Task X. I look at my Google calendar, and I see I have an hour on Tuesday at 1pm, and an hour on Wednesday at 2pm. I'd like to schedule the Task with a Work-on date of Tuesday 1-2pm. Now when Tuesday afternoon comes around, I can look at my calendar and know that at 1pm I should work on Task X.
I don't expect to finish this 2-hour Task on Tuesday, so when I'm wrapping up, I'll need to reschedule another hour to finish it. So I'll set a new Work-on date of Wednesday 2-3pm. Even better, I could schedule both Work-on dates when I create the Task, if there were a functionality to schedule a Task for several Work-on dates. This might be similar to a repeating event in G-cal.
Back to the story: on Monday morning, I scheduled Task X. On Monday afternoon, someone wants to schedule a meeting with me. They see that my G-cal is booked on (my Work-on dates) Tuesday 1pm and Wednesday 2pm, so they suggest Thursday 3pm. Then at the end of Monday my boss comes in with a new top-priority job that will require 1 hour on Tuesday. So I look at my G-cal, and reschedule Task X's Work-on date from Tuesday to Friday 4-5pm. Then I go through the rest of my week and complete everything I wanted to get done.

Crow: So, this tool can basically do that for you. It adds your tasks to your calendar based on availability, length of work needed, etc. Check it out. https://reclaim.ai/

Hey Crow! Do you mean adding a
time estimate
?Crow
Zeb: Thanks for your reply. I didn't know about Time Estimates, and I've now enabled that for my Tasks. This is different from what I was asking about, though still helpful.
I also just noticed a feature next to the new Task due-date dialog that lets me also assign a "due-time" on the due-date. That's a helpful feature.
Zeb
Crow: Cool! And so to clarify, what's the original feature you're asking about?

Zeb: I think what Crow meant is the possibility to plan to work on a task before the due date. So I need to finish a task on Friday, but I want to work on it on monday and Tuesday. I myself am having the 'problem' that if I want to do that, I either have to have multiple extremely tiny tasks and plan those separately, or I set the start and end date but then it will occupy my whole agenda
Crow
Zoë: Thanks, @Zoe, that's just what I'm looking for:
- a Due-date that indicates when a task is due (the team lead may set this) as ClickUp already offers, and
- a Work-on date and time that the assignee (or the manager) sets to put the Task on their work-schedule.
Thanks for clarifying!

Crow: PS Here's an explanation of this suggested feature that I submitted in a survey response: I'd like to be able to schedule a Task with a 'work-on' date and time, so that I can look at my calendar, and know which tasks I'll be working on when. currently I use the Due-date for this, though it would be better to be able to set a separate Due-date, in case the Task doesn't get completed in the initial 'work-on' date, and must be rescheduled with another 'work-on' date. The user would consider the Due-date when setting the new 'work-on' date to ensure that the Task gets completed on time.
