This is always the first question when I talk about AI notetaker. “Can I use my phone app in a conversation?

I agree, I would really love a way to activate AI Notetaker on my computer or mobile device to listen and take notes for in-person meetings. Or similar to how Zoom now records "notes" so it listens to meetings and my environment without actually having to be added to the call. I looked into clips to use voice clips to record meetings, but those have a 45 minute limit.

Fully supporting this request. I work as a project management consultant at a system integrator, and our meeting scenarios fall into three categories:
All remote via Teams → ClickUp AI Notetaker works well (though speaker identification is still missing)
Hybrid (some in-person, some on Teams) → we combine a Jabra speakerphone with the ClickUp Notetaker bot, but still no speaker labels
All in-person at client sites → we are forced to leave the ClickUp ecosystem entirely and use third-party tools like Fireflies.ai or Insta360 Wave
The real gap is that ClickUp has no native solution for in-person meetings. The ideal fix would be either:
A ClickUp mobile app recorder with speaker identification (diarization), or
A hardware partnership with a conference speakerphone manufacturer (e.g., Jabra, Poly) to deliver an integrated audio capture + ClickUp AI transcription experience
Insta360 has already proven this is technically feasible with their Wave device. If ClickUp built or partnered on something similar — a speakerphone that feeds directly into ClickUp Brain with speaker labels — it would cover all three scenarios with a single ecosystem, eliminating the need for any third-party tool.
This would be a significant competitive differentiator, especially for consulting and professional services teams working regularly at client sites.

We would love to be able to have the AI notetaker record our in-person team meetings so that way we dont have to do the workaround of having two people in the room syncup each time.

Alex Lashkov and Alex Omeyer (ClickUp) - I'm trying to make this work with Teams by having AI join a call (that only I join) to record the in-person meeting and get the notes/action items. It's lame, and I forget to launch Teams sometimes, but when it works, it's awesome, very helpful, and it proves the value of getting this feature request done.

Christian Gustafson: so, how this works, is you have two people in a room and you just launch meet with a notetaker and you both talk and then you get the transcript?

Alex Lashkov - yes, that’s the workaround. The Notetaker can’t figure out who is talking nor which action items to assign to whom but if you say “Mike will take this task” it figures it out.
The only drawback is I need to remember to schedule the call, remember to start the call, and make sure the Notetaker joins.
If I could bypass the Teams meeting and just launch the Notetaker on demand from my phone or laptop - that would be MUCH better.

Christian Gustafson: will it will just work with the system audio, so you should be able to just activate it and it will record. More like Granola works - if there is a meeting detected - it auto-activates, but you can also create a recording proactively yourself without the meeting on Teams/Zoom etc

Alex Lashkov - sounds great! So long as "you can also create a recording proactively yourself without the meeting on Teams/Zoom" means that I can launch the AI Notetaker whenever I want (even from a task, so notes are captured in-context) - I'm all set!
This was an issue for me just yesterday - I needed to take in-person notes, and it took me seven minutes to get the AI Notetaker to join a Teams meeting...pretty distracting when you're trying to facilitate a team meeting and trying to get the technology to work.
